Small and Medium Business Payroll

Small and Medium business Payroll is a platform targeted towards small businesses in Ghana to help them make payment to their employees seamlessly and fulfill their PAYE (pay as you earn) and SSNIT obligations on behalf of their employees. Most small business pay their employees through cash or mobile money medium. This has lots of risks involved. Some of these risks are, employees losing their money whiles commuting from home to work or company having issues with telcos cos payment has been deducted from their mobile money medium and isn’t reflecting on employees end. The mobile money issue specifically can take weeks before it is resolved which means employees will not receive their money till the problem is resolved and this can affect employees performance in a company. In order to remove all this stress, we introduced SMB Payroll and created features to curve all these issues.

User Research

For us to understand the needs and pain points of our target users for SMB Payroll, we conducted various user research methods. This included some one-on-one interviews, surveys, and usability testing with payroll managers and specialists from selected companies across Ghana.

During our research, we discovered some of the top priorities of our users. These are

Accuracy
Efficiency
Compliance with tax laws

Our users are looking for a reliable and easy to use tool that handles effectively complex payroll calculations, tax withholdings and report generation.

We also Identified some of the frustrations from our users. These are

Outdated systems that are prone to errors
Time consuming manual data entry systems
Staying updated with constantly changing payroll laws

These findings have informed the design and development of SMB Payroll. We have incorporated features that address these needs and pain points, such as automation for complex calculations, easy-to-use interfaces, comprehensive reporting tools, and updates on changes in payroll laws.

Continued user research and testing are integral to our development process, ensuring that our payroll platform remains responsive to the changing needs of our users.

Problem & Solution

The Problem

Most small businesses don’t have a finance department or even if they have, they are not fully equipped to most times perform certain tedious tasks like filing for SSNIT and PAYE on behalf of employees. They in turn hand over such obligations to the employees to go and file on their own. Most employees don’t and most of them also have no knowledge on how to perform such filing. Hence, many employed people in Ghana have not fulfilled their tax obligations in Ghana and its becoming an increasing problem.
Companies and employees face lots of risks when managing employee payroll through physical cash or mobile money mediums and even bank transactions. The telcos in Ghana are very unreliable when it comes to transactions and these banks in Ghana also depend on these same telcos. A lot of money transaction issues spring up every year and its becoming an alarming trend even on bank apps and also third party apps that Ghanaians use for money transfers. There is a high chance you can lose your money through bank and mobile money transfer or you can lose your money from pickpockets and thieves.
Many small businesses in Ghana lose money through appropriation of funds by employees that work for them. This particular problem is on the rise because many small businesses don’t have a proper means of keeping their financial records. Its either its being written in books or being stored in an excel file on some computer in the office. Both of these means of storing financial records open the doorway for the data to be easily manipulated, causing small businesses to lose millions of Ghana cedis.

The Solution

A platform that can help small businesses pay their employees seamlessly and help these small businesses have accurate records of their payments to their employees.
To have a platform that is secure and can curb issues of data manipulation hence preventing misuse of company funds by administrators for personal use.
Solving the problem of telco network issues where deducted money takes days before being refunded back to the source, this platform will send failed transactions to an inbuilt wallet where employees will be able to access their payment that was not sent successfully to their wallet and withdraw when they deem necessary.
A platform that can make employees easily have and access records of their payroll and pay slips. These pay slips can also be downloaded and printed.
